This section establishes the operational requirements and standards for Recognized Student Organizations (RSOs) at Wichita State University. These provisions outline the expectations for organizational leadership, advisor eligibility and responsibilities, membership requirements, and the routine operations necessary to maintain recognition and good standing with the University. Compliance with these requirements ensures that RSOs operate in a manner consistent with the University's mission, policies, and commitment to student engagement, accountability, and organizational success.
RSOs are expected to conduct their activities in a manner consistent with the values, policies, and regulations of Wichita State University. As a condition of recognition and continued good standing, RSOs and their members must comply with the Student Code of Conduct, this handbook, applicable Student Government Association (SGA) policies and procedures, and all relevant federal, state, and local laws, including the provisions of the Kansas Tort Claims Act. Student Organizations are also subject to university administrative actions, including the Temporary Suspension Policy, when circumstances warrant immediate intervention to protect the health, safety, welfare, or interests of the University community. Failure to comply with these requirements may result in corrective action, loss of privileges, suspension, or revocation of organizational recognition.
Student Organizations traveling to an activity, regardless of whether that event is sponsored by the Student Organization or utilizing university funds or resources, must complete a Sanctioned Travel Form on ShockerSync.
An Advisor can prove to be an asset to your organization by sharing their experience and wisdom, and by providing continuity, organizational memory, and connection to resources. The key role of the advisor is to serve as a resource for the organization. Take some time to discuss reciprocal expectations with your advisor(s). Try to establish open lines of communication that will enable you to work together effectively. If at some point you have difficulty locating an advisor, contact Student Engagement & Belonging for assistance.
Student Engagement & Belonging assists students in starting new recognized student organizations that address areas of interest which are not offered through other RSOs. Student Engagement & Belonging and the Student Government Association reserves the right to deny the chartering, recognition or continuation of an organization based on their inability to meet guidelines, violation of university policies or inability to maintain good standing. Each year organizations need to renew their portal on ShockerSync to receive full RSO benefits. Renewal includes updating rosters and any governing documents. Any group which renews after their renewal cycle or is chartered during the fiscal year will be on provisional status.
This policy section establishes the requirements and expectations for the financial management of Registered Student Organizations (RSOs). It governs the use of Organizational Safekeeping Accounts, Student Government Association (SGA) funding, Wichita State University Foundation accounts, fundraising and solicitation activities, financial transactions, expenditures, reimbursements, and recordkeeping. All student organizations, officers, and advisors are responsible for ensuring that organizational funds are managed in accordance with University policies, SGA regulations, and applicable laws while maintaining transparency, accountability, and responsible stewardship of organizational resources.
The Wichita State University Student Government Association (SGA) grants funding to RSOs based on classification and eligibility. There are several ways in which SGA provides funds annually to RSOs, some required applications and some require you to just exist. Please visit www.wichita.edu/sgafunding to learn more about these options
Wichita State University strives to support student organizations and their programs through on-campus funding sources, such as the Student Government Association and Departmental support options. There are also several training seminars which educate students on money management. The policy and guidelines below define the expectations and requirements for fundraising efforts, specifically current use funds, grants, endowed funds, and gifts in kind.
Approved, recognized student organizations may, at times, engage in various forms of off-campus fundraising. Off-campus fundraising will require prior approval from SE&B to ensure no conflict of interest over solicitation of community partners. Please note that student organizations are recognized by Wichita State University and therefore gifts to student organizations are not tax deductible unless prior approval is given.
Before for your student organization to proceed with hosting or advertising an event, each event must be approved. At minimum, approvals are granted by the RSO President, RSO Advisor, and University Event Services (or depending on event location, i.e. Heskett Center, MetroPlex, etc.), and Student Engagement & Belonging. Please note that additional approvals may be necessary depending on the scope of the event.
Student Engagement & Belonging has equipment for checkout to WSU recognized student organizations and campus departments on a first come, first served basis. Equipment is for use mainly on the Wichita State main campus.
